What this policy covers
This policy applies to the website, the procurement platform, and the email and WhatsApp messages sent through it. It describes the data of three groups: buyers and approvers who use the platform, vendors who receive RFQs and send quotes, and visitors to this website.
Information we collect
From buyers and approvers
- Name, work email, designation, department and the company you work for
- Login activity, approvals given and decision notes recorded against purchase orders
- Plan, billing contact and invoice details
Purchase data you upload or create
- RFQs, item specifications, quantities, delivery locations and attachments
- Quotes received from vendors in PDF, Excel, email or WhatsApp form
- Purchase orders, goods receipt records, rejections and approval history
From vendors
- Business name, contact person, email and WhatsApp number
- GSTIN, PAN, bank account details and certificates submitted during onboarding
- Quotes, prices, delivery terms and replies to RFQs
From website visitors
- Details submitted through the sign up and contact forms
- Basic technical data such as browser type and pages visited, used to keep the site working
How we use it
- To send RFQs and purchase orders to vendors on your behalf
- To read, normalise and compare quotes, and to calculate vendor scores and price alerts
- To route purchase orders for approval according to the rules your company sets
- To create your account, send login details and provide support
- To bill for the service and meet tax and legal obligations
We do not sell personal data or purchase data, and we do not use it for advertising.
Vendor pricing confidentiality
Quotes and prices submitted by a vendor are visible only to the buying company that requested them. A vendor never sees another vendor's quote. Prices from one customer are never shown to, or used to inform decisions for, any other customer.
How AI is used
AI models extract values from quote documents and messages, suggest a recommended vendor and explain the reasons. Every recommendation is advisory. A person in the buying company approves every purchase order. Customer data is not used to train models that serve other customers.
Sharing with service providers
We use carefully chosen providers for hosting, email delivery, WhatsApp messaging and payment processing. They process data only to provide those services to us and are bound by confidentiality and data protection terms.
Security
- Data is encrypted in transit and at rest
- Access within a customer account is controlled by role
- Edits, approvals and overrides are logged in an audit trail
Retention and export
Purchase data belongs to the buying company. It can be exported at any time while the account is active. After an account is closed, data is kept for 90 days so it can be exported, and is then deleted, except where the law requires longer retention of invoices or tax records.
Your rights
You may ask to access, correct or delete your personal data, or withdraw consent to optional communications. Vendors may ask the buying company, or us, to update their business details. Requests can be sent through the Connect with us page.
Changes to this policy
If this policy changes in a way that affects how your data is used, account administrators will be told by email before the change takes effect.
